Privacy Policy

This policy explains how CV Orca Digital Solution ("Orca", "we") collects, uses, and protects personal data when you use the orcadigitalsolution.com website and the product demos on it. It was prepared with reference to Indonesia's Law No. 27 of 2022 on Personal Data Protection.

This is an English translation. If there is any difference in meaning, the Indonesian version prevails.

1. Data we collect

• Consultation form. Your name, company or institution, needs, and the message you write. The form composes a message and opens it in WhatsApp. When you press the send button on the website, a copy of the form content is also recorded in our internal system so we can follow up.
• Issue report form. Name or company, email address, related service, and issue details. The data is sent to our email through a third-party form service (Formspree).
• Direct communication. Data you send when contacting us via WhatsApp, email, or Instagram.
• Consultation booking. The name, email, company, WhatsApp number (optional), topic, and notes you enter on the Book a Consultation page. This data is stored as a meeting invitation in our Microsoft 365 (Outlook) calendar and used to create a Microsoft Teams invitation sent to your email.
• Request records. Website form submissions (consultation, issue reports, digital readiness check, training, and consultation booking) are recorded in our Microsoft 365 (Microsoft Teams and Microsoft Lists) so the Orca team can follow up.
• Product demos. Data you type into demos, such as ODIS Mining Payroll, is stored only in your own browser (local storage) and is not sent to our servers. All sample data in the demos is fictitious.
• Visitor analytics. We use Microsoft Clarity to understand how the website is used, such as pages viewed, clicks, scrolling, and session recordings and heatmaps. Clarity uses cookies, and what you type into form fields is masked so it is not recorded. You can refuse cookies through your browser settings.
• Technical data. Our hosting provider may log standard technical data such as IP address and browser type for server security and operations.

2. How we use data

• To respond to your consultation requests and questions.
• To handle service issue reports from clients.
• To prepare proposals or solution recommendations you request.
• To keep the website secure and performing well.

We do not sell your personal data and do not use it for purposes beyond those described above without your consent.

3. Third parties

To run the website, we use third-party services including WhatsApp (consultation messages), Microsoft 365 (Outlook and Teams for consultation booking), Formspree (issue report form and notifications), Microsoft Clarity (visitor analytics), Google Fonts (typefaces), and our website hosting provider. Each of these services has its own privacy policy.

4. Retention and security

Data is kept for as long as needed to respond to your request or carry out a working relationship, then deleted or anonymized when no longer needed, unless regulations require longer retention. We apply reasonable safeguards to protect data from unauthorized access.

5. Your rights

In accordance with applicable regulations, you have the right to:

• request information about the personal data we hold about you;
• request correction of inaccurate data;
• request deletion of your data;
• withdraw your consent to data use.

6. Children's data

This website is intended for organizations and professionals. We do not knowingly collect children's personal data through the website.
